The benefits administrator position is a hands-on position responsible for the day-to-day operations of group benefits programs (group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, travel and accident plan, flexible spending plan, 401k retirement plan, etc.). This person in this role provides excellent customer service to internal/external stakeholders and manages vendor relationships. The administrator continually monitors benefits programs, for performance, improvements, and problem resolution.

Essential Duties & Responsibilities
Responsible for providing New Hire Orientations and supporting new employees in the enrollment process.
Provide excellent customer service to employees, team members, internal/external customers.
Primary contact for benefits and claims issues; handles stakeholders with diplomacy and tact.
Primary contact for plan benefit service providers and third-party administrators.
Coordinate daily benefits processing and workflow. Oversees and facilitates all benefit operations, including but not limited to new hire enrollments, terminations/COBRA, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships and compliance testing.
Responsible for overseeing new service provider agreements through the procurement process.
Supervises and ensures smooth transfer of data to business partners, insurance carriers and third-party administrators for services, premiums and plan administration.
Oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records.
Processes and reconciles monthly billings; collaborates with Accounting for payment premiums and fees for all group plans.
Audits employer and employee group health premiums monthly and review quarterly; ensure that invoices are aligned with headcount and employee benefit payroll deductions are accurate. Liaises with Payroll and other parties to resolve errors and anomalies.
Monitors the compliance calendar; completes reports, filings and carries out testing, including but not limited to 5500s, 1094/1095s, Section 125 and 401k plan discrimination testing, Notice of Creditable Coverage. Ensures timeliness and accuracy of federal/state mandatory reporting and notifications.
Plans and administers annual clinics, health fairs, special benefits initiatives; collaborates with Benefits Team members for end-to-end event management
Analyze current benefits, evaluating the use, services, coverage, effectiveness, cost, plan experience and competitive trends in benefits programs, and identify the company's stance.
Participates in annual plan audits including but not limited to workers' compensation and 401k; provide records, documents, materials required by auditors.
Develop communication tools to enhance understanding of the company's benefits package.
Design and distribute materials for benefits orientations, open enrollment and summary plan descriptions.
Survey industry trends. Analyze complex benefits information. Forecast trends and assist with future benefits designs and develop specific recommendations benefit plan design improvements.
Document and maintain administrative procedures for assigned benefits processes.
Monitor administrative costs of benefits programs and recommend cost containment strategies, including alternative methods for administration.
Assists in global benefits planning, research and execution; coordinates materials, documents and activities to meet desired timelines.
Collaborates cross-functionally to complete tasks/responsibilities as assigned.

Requirements

Skills
Minimum 2-year experience and proficiency with Benefits Prime/Ultipro required.
Intermediate to Advance Excel skills (Vlookup, pivot tables)
Computer proficiency and technical aptitude with the ability to use Microsoft Office Suite.
Project and team management/leadership skills and experience.
Proven ability to work effectively in a team environment with associates.
Effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
Strong analytical skills and a thorough knowledge of plan designs.
Ability to understand, evaluate and make judgment on proposals (RFPs).
Knowledge of benefits contract language.
Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including but not limited to ACA, ERISA, HIPAA, COBRA, FMLA, ADA, ADEA, Section 125, workers' compensation, Covid-19 FMLA/Sick Leave Medicare, OBRA, and Social Security and DOL requirements.
Excellent communication and organization skills. Qualifications
Bachelor's degree in human resource management or related field or equivalent
Minimum five years of employee benefits administration experience required
SHRM-CP or SHRM-SCP or PHR required. CEBS professional designations a plus
